I talk to customers every day that have horror stories about loosing all the contact info of students, lost counseling notes, and on and on. By taking a few seconds to backup each day, can give you piece of mind. Here is how you make a backup:
1. Open your software and go to "File" then "Backup."
2. Click the "Browse" Button and it gives you a pop up window where you can select a location to save the backup file. (The Backup File is a zip folder.)
3. We recommend that you create a folder and save all your backups in the same folder. If you have an external hard drive, USB Drive, or a network server, it may be better to backup to one of those locations just in case your computer crashes.
4. Once you select the location to save your backups to, click "Open" and then click "Yes, Backup" - When the backup is complete it will tell you that your backup is successful. (If you get a -169 error that means that you do not have the permissions to save to that location, and will have to save to a different location.)
Recommended Option. On the Backup Window in the bottom left hand corner there is an check box option that will prompt you to make a backup when you close your software. We highly recommend this, and if you followed step 4 above, it should take just a few seconds.
We also suggest that you make a backup that is not saved on your computer. I have spoke with some customers who had backups for the last year, but it was on the same computer as their Youth Assistant. When their computer crashed, they lost their software and all their backups. Using those external hard drives or flash drives may be a good idea for your backups.
